From First Call to Working Solution: What the Path Looks Like

The salesperson needs a number today. Purchasing needs a real material list. The owner needs both to be right. Nobody has time for a six-month science project.

That is the kind of week that starts a good engagement. Not a request for "AI business solutions." A request to stop losing days to quoting mistakes and guesswork.

In the last post, we covered how we listen before we build. This post walks the full path with one anonymized example from construction: a builder whose quoting had to be fast, accurate, and familiar, or the business stalled.

Problem. Conversations. Shared picture. Mock-up. Build. Result. No IP dump. No overnight claims.

Call 1: naming the pain

On the first call, the pain was clear enough to say out loud.

If you cannot quote fast, and accurately, you are stuck. Deals wait. Teams argue over which number is real. Customers get a document that does not look like the quotes they already know how to read.

They did not ask us to invent a new industry format. They asked for a system that felt like the quoting work they already trusted, only cleaner and more reliable. Sales needed simplicity. Purchasing and costing needed depth. Both had to live in the same workflow.

That naming step matters. Useful AI consulting starts here: one bottleneck, stated in plain English, before anyone talks about features.

Follow-ups: narrowing to what matters

The next conversations tightened the job.

What stayed in:

  • A familiar quote layout people would actually open
  • Fast drafting for routine jobs, with room for special items
  • A clear path from quote to material list and current pricing
  • Roles that keep sales simple while admins control pricing and structure

What stayed out (for later or for other systems):

  • Rewriting every back-office tool at once
  • A giant feature tour that ignored the stuck quote
  • AI for the sake of saying AI

Narrowing is how you avoid a 12-month waterfall. You keep the weekly bottleneck in the center, and you cut anything that does not serve it.

Discovery that fits how the team actually works

Discovery meant watching the real handoffs, not collecting abstract requirements.

Who builds the first quote? Who checks it? Who needs cost visibility without dumping a full bill of materials on every salesperson? Where does the quote number live for the life of the job? What breaks when two people use two different sheets?

We also looked at the data they already had: past quotes, standard sizes, material patterns, dealer needs. That shared data is the raw material for business process automation and, later, for any custom AI development that is worth doing.

If the data and the roles are fuzzy, AI integration will only make the mess faster. If they are clear, the build can stay focused.

Implementing something people will use

Before a full build, we put a picture in front of them.

A mock-up of the quoting screens. Tabs where detail belonged. A simple flow for routine items. A place for specials without turning the whole quote into a maze. A path that could later expand into materials and costing without forcing sales to live in purchasing's world.

People reacted to the picture. "Keep it simple." "Keep the familiar layout." "Let us mash a button and see materials and cost without training everyone on everything." That feedback is the point of the mock-up. It is cheaper than discovering the truth after the code is locked.

Then we built toward a usable quoting path, not a theory of the whole company. The goal was a system the team would open on a normal Tuesday.

What changed

The before picture is easy to recognize: days lost to slow, mistake-filled quoting, and too much chasing for numbers that should already be in one place.

The after picture is simpler: request the quote work, and the numbers are there. The layout still feels like the industry quotes customers already understand. Sales can move. Purchasing and costing can go deeper without making every salesperson become a cost accountant.

That is the result that matters. Not a demo reel. Not a claim that everything was finished overnight. A quoting workflow people can trust when the week is already loud.

What we leave out of this story

You do not need our secret sauce to understand the path. We do not need yours to explain the outcome. The useful part is the sequence: name the pain, listen, share a picture, build what people will use, measure the week that used to break.
